Holosity

Frequently asked questions.

The questions we hear most before teams decide to work with us. If yours is not here, ask it on a call or by email.

Will this disrupt how our team works?

The work is designed to avoid exactly that. We map how your team actually works before anything is built, we build around the tools you already use rather than replacing them, and changes land gradually with your team involved rather than switched on overnight.

Will our staff actually use what you build?

Adoption is built into every engagement rather than left to you. That means documentation, training and rollout support, and we stay involved until the new way of working is just how your team works. Systems that sit unused are a failure on our side, not yours.

Do we have to replace our practice management system?

No. We build around your existing systems and connect them where they do not talk to each other. Replacing a system only comes up when something genuinely does not fit, and that is a decision you make with full information, not a default.

What does working with Holosity look like?

Most engagements start with a free Clarity Call, where we listen and point you to a sensible next step. From there, teams usually move into an AI & Systems Opportunity Map, a focused working session that maps one high-friction workflow. Then a Systems Build to put the fix in place, and Systems Support to keep improving it as you grow.

How much does it cost?

It depends on what we find and what you decide to build, so we scope each engagement after the mapping work rather than quoting off a menu. The Clarity Call is free and carries no obligation, and you will always know the cost of a piece of work before it starts.

How do you handle client data and privacy?

Carefully. We do not put sensitive client data into public AI tools. We work within the permissions and safeguards of your existing systems, and where AI is involved we are explicit about what data it can see and what it cannot.

Where is our data stored?

For the systems we build, Australian data residency is our default and our recommendation, and we choose infrastructure that stores data in Australia wherever the build allows it. Your existing tools and third party platforms make their own hosting decisions, so as part of any engagement we are upfront about where each system in the mix actually keeps its data and we factor that into what we recommend.

Are you just going to sell us AI?

No. Sometimes the right answer is automation, an integration or a simpler process, and sometimes the right answer is AI. If AI is not the right answer for your situation, we will tell you, and if we are not the right fit we would rather point you somewhere useful than deliver something that will not stick.

Where are you based, and do you work remotely?

Holosity is headquartered in Brisbane, with a regular base in Bundaberg. We work with clients Australia-wide: remote by default, on site when it matters, and meetings by appointment.

How do we get started?
